Using the Web App

Organization management

As an admin of a business organization, you can manage your team, billing, and access through the Soniox web app.

Creating a new organization

Craete organization

To create a new organization:

  1. Open the Organizations menu in the web app.
  2. Click "+ Create new organization."
  3. Enter a clear name.
  4. Choose a region. You cannot change it later.

After creating it, go to the billing page to manage your subscription and invite users.

About regions

A region controls where we process and store your transcription data. All transcription data and all processing (refinement, translations, AI actions) stay in the region you choose. You cannot change the region after creating the organization, and we cannot move data to another region.

Account data, project metadata, usage stats, and billing may be processed outside the selected region.

You cannot move an organization to a different region after you create it.


User roles

Users in an organization have roles that determine their permissions:

  • Viewer (Free)

    • Can view, comment on, and share transcriptions in projects.
    • Cannot create transcriptions or run AI actions.
    • Unlimited viewers allowed at no cost.
  • Creator (Paid Seat)

    • Has all viewer permissions.
    • Can create new transcriptions and translations using the mobile app.
    • Can run AI actions on accessible transcriptions.
    • Can create projects and move transcriptions into them.
  • Admin (Permission Level)

    • Can be assigned to any user (viewer or creator).
    • Can invite new users and manage roles.
    • Access to all projects.
    • Manages subscription and billing.

The user who creates a new organization is automatically an admin.


Inviting and managing team members

Invite user

To invite new members:

  1. Go to the "Users" tab in your organization.
  2. Click "Add user" and enter their email.
  3. Assign a role: creator or viewer. You can also grant admin permissions.
  4. The invited user receives an email. Track pending invites and cancel them in the "Users" tab.

If you assign a user a creator seat, you must have a paid seat available. Buy more seats if you run out before adding new creators.
